KI 3086 Common Challenges with External Guests in Teams

It is absolutely possible to invite external guests to Teams, even if they do not have a UiB account or a Microsoft account from another organization. For example, you can invite a @gmail.com address to a team or share documents with it. However, login and access issues may still occur. Here are some tips on how to resolve them.
Typical Issues
  • The guest cannot access the team or documents even though the invitation was sent.
  • Sign-in fails because the guest has traces of previous logins in their browser.
  • The guest is unsure which account to use.
How to Solve the Problem
  1. Use an Incognito Window
    Ask the guest to open a “clean” incognito window in their browser. This ensures that old login data does not interfere with the process.

  2. Go to UiB Teams Sign-In
    Ask the guest to go to:
    https://teams.microsoft.com/v2/?tenantId=648a24bc-a98d-4025-9c60-48c19a142069
    They will see the UiB login screen (with the University Museum background). This ensures they log in to our Teams environment.
  3. Sign in with the Correct Account
    The guest should enter the email address that was used when they were added to the team (e.g., kari.nordmann@gmail.com, peder.aas@uix.no, ...).
    • For Gmail accounts, they will be redirected to Google’s login page and should sign in with their usual Google password.
    • For other email providers, the same applies.
    • A prompt may appear asking to approve sign-in on microsoftonline.com – this must be accepted.
    If the user belongs to another organization, they will be redirected to that organization’s login page.
  4. Access Teams and Files
    Once signed in, the guest will enter Teams via the web browser.
    • In the left-hand menu, select Chats and find the team.
    • To open files: go to General → Shared (or choose Open in SharePoint).
  5. If There Are Issues with a Specific File or Folder
    You can share a direct link to the folder:

    Find this by clicking the three dots next to the folder name → Manage Access → Links.
Tips
  • Test guest access well before important meetings.
  • Provide clear instructions to the guest on how to sign in.
  • Do not login on a mobile phone. Use a PC when encountering difficulties.
