Storage Solutions and Use Cases (What Can Be Stored Where?)

📁Teams
  • For collaboration within groups, projects and organisational units. Suitable for documents that require sharing and editing.
  • Remember to ensure that the document does not contain sensitive information and that access permissions are configured correctly.
  • The following information classifications may be stored in Teams: Open (green), Internal (yellow), Confidential (red).
📁Project Areas

A project area is a shared storage space that can be used by both clients and servers. It is particularly well suited to collaboration in research and development projects, where large or numerous files are involved.

Transition from Shared Drives Traditional shared drives linked to organisational units are being phased out and replaced by:
  • Teams – for collaboration on documents, presentations and spreadsheets.
  • Project Areas – more specifically aimed at collaborative projects and research. Particularly when several people need to work together on data that is not suitable for Teams.
When Should You Use Project Areas?
Use project areas when working with:
  • Large files (e.g. video, graphics, images)
  • Large numbers of files (e.g. datasets)
  • Data that is not suitable for Teams or OneDrive
NB! Teams and OneDrive are not suitable for large files or large numbers of files.
Access and Security
  • Access to project areas is managed through self-service via: https://tilgang.uib.no
  • Approved for green (public) and yellow (internal) data
  • Storage exceeding 1 TB is charged according to the current pricing schedule of the IT Division (ITA)
Archiving For data that is only to be archived, the use of Billy is recommended.

📁OneDrive
  • For personal work files that are not shared with others.
  • The following information classifications may be stored in OneDrive: Open, Restricted, Confidential
📁Records Management System (WebSak)
  • For documents with archival value that must be preserved long term.
  • The following information classifications may be stored in Elements: Open, Restricted, Confidential, Strictly Confidential
📁Billy
  • Long-term storage and backup of historical data.
  • 👉 Contact the IT Division for access.
📁SAFE
  • SAFE stands for Secure Access to Research Data and E-Infrastructure and is UiB’s secure analysis environment for the storage and processing of sensitive personal data in research. It is developed and operated by the IT Division and is used by staff, students and external collaborators.
  • The following information classifications may be stored in SAFE: Open, Restricted, Confidential, Strictly Confidential
